Job Opening – Parish Administrative Assistant
Job brief
As a parish administrator you will assume the duty of clerical and administrative support in order to optimize workflow procedures in the office.
You will assist the rector, staff, and the vestry by supporting them with planning and distributing information.
You will be the point of reference for all queries, requests or issues and will be an integral part of the church’s workforce and communication.
Responsibilities Include:
• Answering phone calls and redirect them when necessary
• Managing the daily/weekly/monthly communications and arrange new meetings and schedule events
• Preparing and disseminating correspondence, memos and forms
• Enter contributions, accounts receivable and accounts payable in the PowerChurch software
• Prepare and submit payroll
• Weekly Staff Meeting currently Tuesdays 9:00 a.m.
• Manage the communications to staff, vestry and parishioners through emails, phone calls, and in
person meetings
• File and update contact information of employees, parishioners, and vendors
• Support and facilitate the completion of regular reports
• Develop and maintain an electronic and paper filing system
• Frequently check the levels of office supplies and place appropriate orders
• Prepare weekly Sunday bulletins, prayers, occasional newsletters, and weekly email communication
• Document expenses and hand in reports to the rector and/or wardens
• Undertake additional duties when necessary
Requirements
• Proven work experience as a secretary or administrative assistant
• Familiarity with office organization and optimization techniques
• High degree of multi-tasking and time management capability
• Excellent written and verbal communication skills
• Integrity and professionalism
• Proficiency in MS Office
• High School Diploma
